What should a warning letter include?

A warning letter should factually describe the incident (with dates where possible), reference the policy or conduct standard violated, state clearly what improvement is expected, and explain the consequence of continued or repeated issues. Keeping the tone factual rather than accusatory helps it hold up if challenged later.

First, second, and final warnings — what's the difference?

Most Indian companies follow a progressive discipline approach: a first warning for an initial issue, a second warning if it recurs after a documented first warning, and a final warning before more serious action (such as termination) is considered. Check your company's HR policy for its specific escalation process.

Is this legally binding?

This generates a standard-format warning letter suitable for most disciplinary situations. For matters that could lead to termination, or that involve safety, harassment, or legal risk, have your HR or legal team review the process and wording before issuing it.
